Booking Procedures

  • Full payment is due upon booking the facility. This can be done with a credit card over the phone or with a check or debit card during regular office hours. Bookings are not guaranteed until payment is processed.
  • A Waiver and a Terms and Conditions Agreement must be signed by the renter.

Cancellation / Refund Policy

  • If we are notified of a cancellation at least 5 working days prior to the rental date, the amount paid will be refunded minus a $25 booking fee. If a cancellation is made less than five working days prior to the rental date, a refund in part will only be considered if the room is able to be rebooked.

General Information

  • Renters will be greeted by the assigned Duty Staff at the time designated as the start time in the rental agreement.
  • Facility Attendant will assist with locating necessary equipment. Actual set up is to be done by the Renter. If additional time is needed to set up for the planned event it should be factored into the agreement time.
  • Set-up and clean up can be requested at extra charge of $30/rental.
  • The clean up of the rented room is required by the Renter with the brooms provided by the Facility Attendant. All table, chairs or equipment are to be put away in their original location.
  • Renters are responsible for providing their own cleaning supplies
  • Events are to end by 11 p.m. unless otherwise permitted by the Executive Director or Facility Coordinator. This is due to a City of Victoria noise by-law.
  • The Renter is responsible for the conduct of all guests and/or participants and will be liable for any damage or loss caused by these participants.
  • If alcohol is being served, the Renter must attain a permit from the Liquor Board and submit it to the FCA prior to the event, and post it on the premises during the event.
